Pricing & Proposals

Pricing

Prices reflect the costs of maintaining high-quality, organic, and regenerative sourcing — plus the time required to source seasonal items and produce fresh menus. Pricing is fixed and non-negotiable. Prices are subject to change without notice; no proposal is guaranteed unless accompanied by a deposit.

Proposals

To receive a proposal: complete the contact form on the website and/or schedule a consult call. An all-inclusive proposal — covering the experience that fits, the set menu, the available add-ons, and the one transparent price — will follow. NZR no longer offers self-generated estimates.

Proposals

Proposals are generated based on your selections. All payments and correspondence are handled through the HoneyBook platform so that everything is documented and nothing is lost in translation. NZR does not produce proposals or estimates over the phone or by email.

Proposals expire 14 days from submission. Pricing may shift in that window; the proposal is only guaranteed once a deposit is received.

Section 02

Booking & Payments

Booking

Booking is first-come, first-served. NZR books a maximum of 24 events per year; the season runs May through December. Booking begins one year in advance; most slots are filled by March. Dates are not held without a deposit — even with a proposal in hand, NZR reserves the right to book other clients whose proposals include deposits and contracts.

Deposit

A 50% non-refundable deposit is required to secure your event date.

Automatic Payment

The second payment is auto-processed via ACH on the scheduled due date (14 calendar days before the event). A credit card on file is required to cover any last-minute additions.

Late Payment Penalty

Grace period for any overdue payment is three (3) days. A late fee equal to 10% of the invoice total is assessed for each day past the due date. If payment is more than three days late, the event is automatically canceled and the full event cost is forfeited.

Tax

All applicable New Mexico state and local taxes are built into the all-inclusive proposal price. No separate tax line on the invoice — the quoted number is the final number.

Gratuity

Gratuity is built into your all-inclusive proposal price. Chefs, captains, and floor service are fully taken care of — no separate tip-out required.

Section 04

Service & Schedule

Booked Hours

Standard pricing includes three consecutive hours of service:

5 PM · Bar & appetizers
6 PM · Dinner
7 PM · Dessert
8 PM · Service end
10 PM · Cleanup and departure

Additional hours are billed at time-and-a-half for the team. The soft bar is removed at 10 PM; remaining beverages are left with the client for the rest of the bar hours.

Booked Hours Deposit

In addition to the retainer deposit, a fully-refundable "booked hours" deposit protects against late starts. Cleanup and departure are calibrated around NZR's two-hour-plus team commute home — team safety after long event days is paramount, especially during deer and elk season.

Timing

Food is prepared on-site during service — no chafing dishes with sterno, no reheating. Buffets use child- and fire-safe induction warmers with cast-iron Lodge pans. Plated meals come straight from the range, griddles, or wood-fired grills.

If guests fail to arrive at the dining table on time — late photos, long speeches — additional labor hours are deducted from the booked-hours deposit and meal presentation cannot be guaranteed. Schedule photos the day before or earlier on the event day; limit speeches to the bar/appetizer hour.

DIY Parts of Your Event

If you handle a portion independently — your own bar, dessert station, or appetizer setup — you are responsible for tableware, ice, setup, service, and breakdown of that portion.

Beverage Plan

Every event requires a beverage plan: either NZR's DIY Soft Bar add-on or an outside bartending service hired by the client. If the client elects to handle the entire bar, the client is responsible for setup, service, tables, linens, glasses, coolers, ice, wine and bottle keys, maintenance, and breakdown.

Section 05

BioWare & Rentals

BioWare Included

Every package includes a complete set of sustainable, compostable, biodegradable BioWare — plates, platters, napkins (table + bar + appetizer + dessert), and bamboo cutlery. Setup, service, and breakdown of BioWare are built into the price.

BioWare is more environmentally friendly and more cost-effective than external rentals, which carry higher water and labor costs.

Plated & Served Option

If you elect to use external rentals and have your event plated and served on traditional tableware, the BioWare cost is transferred to professional servers. They handle every course of the plated meal, passed hors d'oeuvres tableside, wine and water service, champagne toasts, cake cutting, and cake service.

Rentals (Tables, Chairs, Linens)

NZR does not provide rentals directly. The client is responsible for all design, rental items, and associated costs. NZR's pricing only includes BioWare and labor for plate clearing, scraping, stacking, and rental-pickup prep.

Booked clients receive a 15% rental discount through NZR's partnership with Summit Rentals / Colorado Rentals — the introduction is made after deposit.

Section 06

Travel & Venues

Travel

Travel is built into your all-inclusive proposal price. Whether your event is in Santa Fe, Taos, Abiquiú, Albuquerque, or beyond — your proposal is quoted as one transparent number. NZR's kitchen and team are based in Taos; team safety after long event days is a priority, particularly during elk and deer season.

Site Inspections

Available in person or via Zoom — food-service layout, cook-tent location, and event specifications. For additional event design assistance, consider hiring an event planner.

Offsite Kitchens

NZR primarily services venues with full-service kitchens. Events in deserts, backyards, parks, fields, or venues without kitchens can typically be accommodated with cooperation — see outdoor venue add-ons on the experiences page. Additional costs apply.

Vacation Rentals

For events at vacation rentals or Airbnbs, the client must obtain written consent from the property owners confirming permission to host the event and to allow NZR to cook and deliver services.

Section 07

Guest Count & Changes

Guest Count

Estimate guest count conservatively when making the deposit. Guest count can be increased after the deposit — additional food, service, and gratuity are invoiced. Guest count cannot be decreased after the deposit, because meat orders from local ranchers and team schedules cannot be reversed.

Final Payments & Guest Increases

Full payment for all remaining invoices — including last-minute food, beverages, additional service team, and rental items — must be received one day before the event. Outstanding invoices unpaid by event eve give NZR the right to cancel services with all paid amounts forfeited.

Guest count increases require corresponding service increases with gratuity, paid in full before the event.

Event Changes & Correspondence

Additional charges apply for changes, expedited services, and discussions that extend beyond the standard booking process.

Section 08

Weather & Off-Grid

Mandatory Backup Weather Plan

A backup weather plan with indoor seating and food-service area is required. Please have designated assistants or willing guests available to help move tables and chairs. NZR's team is available only for last-minute food-buffet adjustments.

Off-Grid Locations

Outdoor event spaces must be prepped for inclement weather. Minimum: a 20 ft × 20 ft wind- and rainproof event tent with sides, lighting, power/electricity, a hot-water sink, and a dry floor. If conditions become unsafe, NZR may deem the location unsuitable and end service. Locations without hot water or a proper sink incur an additional post-event sanitation day.

Section 09

Safety & Conduct

Safe Working Environment

The client agrees to provide a safe, professional environment for the NZR team. A three-strike policy applies: first warning is noted to the client or responsible party; second offense requires removal of the offending person; third offense, NZR leaves the event with payment in full retained.

Health & Safety

NZR complies with all health and safety laws. Clients and their agents may not carry weapons or firearms, may not request anything illegal or unsafe, and may not expose the team to severe illness. NZR reserves the right to refuse service in unsafe locations or under unsafe conditions.

Kindness

Net Zero Ranch is a hospitality company. The primary objective is to deliver an exceptional level of service. NZR asks that the team and management be treated with the same kindness and respect they extend.

Section 10

Liability & Insurance

Damage

NZR assumes no responsibility for any damage or loss to items before, during, or after the event.

Third-Party Liability

The client is responsible for any damages caused by attendees or third-party services they hire.

Unlawful Activity

Clients must comply with all laws. NZR will not issue a refund if the event is canceled due to unlawful activity.

Insurance

Net Zero Ranch maintains General Liability and Automobile insurance.

Limit of Liability

NZR's maximum liability for any claim is limited to the Total Cost of services provided under the agreement.
